= INTRODUCTION =
= =
===================================
SIFDial is an easy to use phone book and address system which will allow
you to build and maintain up to 8 different address files with up to 250
addresses per file.
SIFDial incorporates many features of commercial software costing much
more. Some of these features include:
() Sorting your address file.
() Backing up to diskette.
() Non destructive record deletion.
() Dialing via modem.
() Rapid record search including similar spelling.
() Unique screen design.
() Enhanced print functions which allow printing of entire
book, labels, pocket directory and individual records.
Above all SIFDial is easy to install and maintain.
Menu selections are made using a single key or can be accessed by moving
the active window either left or right using the arrow keys.
We believe SIFDial is in the top of it's class and hope you will enjoy
using it as much as we did in creating it. Should you find any problems
with SIFDial or just have some ideas for improvements, please feel free
to contact us either by mail or by calling our 24 hour bulletin board
system at (405) 672-4564.
EVALUATION COPIES: Evaluation copies of SIFDial can be recognized by the
word "EVALUATION" which appear on the screen. Evaluation copies
function exactly like the registered copies with the following
exceptions:
() You are limited to only 1 address file.
() You are allowed only 20 phone numbers in your address file.
() Dialing via modem is disabled.
() You may delete but not purge records from your file.
COMPATIBILITY: SIFDial was developed using and IBM PS/2 model 60
running IBM DOS version 3.3. It has been tested and found to
be compatible with the IBM PC/XT/AT, PS/2 model 80 and various other
"clone" P.C's. SIFDial does incorporate many low level functions
such as direct screen I/O, fast disk access and extended keyboard
functions which may or may not be compatible with your computer.
If you have problems with some of the function found in SIFDial
please let us know. We will make reasonable effort to fix the
problem. Because of the wide range of "compatible" computers on the
market today there is no guarantee that we will be able to solve your
specific problem.
SIFDial has been tested and found INCOMPATIBLE with DOS 4.0 and
above.

= HOW TO USE THIS MANUAL =
= =
===================================
This manual is written to accommodate easy access to specific topics
relating to the use and maintenance of SIFDial.
If you are having problems with a particular function you should turn to
the section describing that function to help with solving the problem.
Each section describes in detail what each function does and how to use
it. Many sections contain pictures of what your screen might look like
to perform the function or while the function is taking place.
2.
DIFFERENCES WITH PRIOR VERSIONS
There have been many significant changes to version 2.0.
Some of these changes are as follows.
() Address file structure has changed. Some of the fields in the
address file have been enlarged. Therefore your old address files
will NOT work with version 2.0. If you have files created under
versions prior to release 2.0, you should read the Installation
section. DO NOT try to use your old files with version 2.0.
() Single key menu selections. In previous versions you had to press
the Escape key to activate the pull down menus.
Beginning with release 2.0 this is accomplished by pressing a single
key which corresponds to the function you wish to select.
() The "Listen" function has been dropped.
() The "Locate" routine has been significantly enhanced.
As with past versions, you will be asked to supply a search string.
If the string cannot be found SIFDial will search for a string which
has a similar spellings (A.K.A soundex).
() The screen design is new and easier to read.
() You may now designate a drive letter for your backups.
Previous versions allowed only backup to drive A:.
Version 2.0 now allows backup to drive B: also.
() Total number of records in each address file has been increased
from 100 to 250. This should be enough room for those of you who
have extremely large address files.
() The Print routines have been greatly enhanced and a new function for
single record print has been added. Also the Pocket Phone Book
function has been re-written so that the end result looks more like
a pocket phone BOOK.
() Some bugs were fixed from previous versions and many of the routines
were either speeded up or completely re-written to provide faster
access.

===================================
= =
= INSTALLATION =
= =
===================================
FIRST TIME INSTALLATION:
If this is the first time you have installed SIFDial all you need to do
is create a directory (you may also use your root directory) to hold the
SIFDial program and files. Then simply copy SIFDial and it's associated
files into that directory and you are ready to go. SIFDial will create
the files it needs to operate if they are missing.
UPGRADING FROM A PREVIOUS VERSION:
If you are upgrading from a previous version of SIFDial you must run your
address file through the ADRSCONV program which is provided with SIFDial.
If you fail to do this, your existing address files will not work.
Here are the steps to follow:
1. Backup or copy ALL of your current address files either to
diskette or to some other directory on your hard drive.
2. Although optional, you may wish to create a list of your address
files so that you can be sure each one was ran through the
ADRSCONV program. You may do this by executing the following
DOS command: DIR *.ADR >PRN .
3. Be sure that the file ADRSCONV.EXE is in the same directory as
your existing address files and then type ADRSCONV.
The ADRSCONV program will determine how many address files you
have and begin converting each one of them to the new format.
Your old address files will be given a ".OLD" file extension.
Notice!! Run the ADRSCONV program only ONCE. If you feel like something
has gone wrong or the program aborts, simply copy the files from your
backup (from step 1 above) then, and only then, re-run the ADRSCONV
program.
4. Once you are assured that everything is ok, you may delete your
old address files.
Also the SIFDIAL.PRM file has changed somewhat. You will need to delete
your old SIFDIAL.PRM file and let SIFDial create a new one. If you try
to use your old .PRM file SIFDial will not know how to dial your phone.
(See the section on the -INSTALL- menu selection).
4.
===================================
= =
= THE SIFDIAL SCREEN AND BAR MENU =
= =
===================================
The SIFDial screen consists of two parts.
The first or top part is where you will do all of your menu selections
and record editing. This is known as the VIEW window.
At the very top of the VIEW window is the Bar Menu. It consists of 11
different items to choose from. They are "File, Locate, Modify, Append,
Erase, Goto, Dial, Sort, Print, Install and Quit". To select one of
these items simple press the first letter of the corresponding item. If
you have a color monitor, the key to press will be highlighted in red.
In addition, the first record of the active address file is also
displayed.
As you browse through your address file keep in mind that the record
you see in the VIEW window will be the record on which any action will be
taken. For example if you are currently viewing record number 7 and
press -D- for dial, then the phone number in record 7 will be dialed.
That goes for the Modify, Erase and one of the Print selections.

The bottom half of the SIFDial screen is the Information window.
This window keeps you informed as to which address book you are currently
using, which record number you are currently viewing, what the last
record number in the file is, and how many more available entries are
allowed before the file fills up. Additionally, you are shown the
current mode (browse, edit, add, print, etc), how many address books you
have and what the active communications port is.
The information in this area will change as you add or delete records,
choose different items from the bar menu or select different address
books.
5.
===================================
= =
= BROWSING THROUGH YOUR ADDRESSES =
= =
===================================
SIFDial's default mode is BROWSE as indicated in the Information window.
In order to see additional records that are in your file simply press
either the Page Up key to go backward or the Page Down key to go
forward.
SIFDial incorporates a wrap around file structure. That means if you are
currently looking at the last record in the file and press Page Down,
SIFDial will "wrap" to the first record in the file. Conversely, if you
are looking at the first record in the file and press the Page Up key,
SIFDial will wrap to the last record in the file.
As you browse through your addresses, SIFDial's Information window will
keep you informed as to which record you are currently viewing.
Keep in mind that with Modify, Erase and Dial that the task will be
performed on the record that you are currently viewing.
===================================
= =
= ADDING RECORDS TO YOUR FILE =
= =
===================================
To add records to your address file choose the Append selection from the
bar menu. When Append is selected, the input area of the screen will
clear and you may begin entering information for the new record.
After the information is entered the record will be added to the bottom
of your address file. You may then wish to sort the file in order to
place your records in the proper sequence.
The input fields are as follows:
() NAME: This of course is the name of the person or organization.
() CODE: This is an 8 character string which you may assign to the
address. It can be used to categorize your address file.
For example you may wish to assign the code "BUSINESS" to
addresses that pertain to business, "FAMILY" to those which
pertain to family and so on.
() ADDRESS: The address consists of two fields which can be used to
input the address and perhaps apartment or building
number.
() CITY: The city to which the address is associated.
() STATE: Two character field for the state. (i.e. OK, TX, MI, etc).
() ZIP: The zip code for the state.
6.
() PHONE: The phone number. This phone number should include any
dialing prefix or special codes. For example many
businesses use "9" to obtain an outside line. It may also
include any special characters which your modem supports.
For example, 9,405-672-4564 would dial the digit 9 then
wait one second (as indicated by the comma) before dialing
the rest of the number.
() COMMENT: This is a line which you may use to place comments about
the address.
You will notice also that the Current Mode is APPEND as indicated in the
Information window.
The APPEND mode will allow you to enter as many records as you need up to
250 per file.
To exit the Append mode press the Escape key WHILE IN THE CODE FIELD.
This will tell SIFDial that you are finished entering records.
If you should happen to press escape in any field other than the CODE
field, SIFDial will think that it is a valid record and will save it to
your file.
To move to a particular field simply press either the up or down arrow
keys or the Enter key.
As stated earlier the record will be appended to the bottom of your
address file. The "Last record No:" field in the Information window will
be incremented by one and the "Available:" field will be decremented by
one.
When you have finished entering all of your records, you may wish to sort
them to place them in the proper order in your file.
====================================
= =
= MODIFYING RECORDS IN YOUR FILE =
= =
====================================
To change the information in the active record (that is the one which is
currently being displayed), simply select MODIFY from the bar menu.
You will notice that the Current Mode in the Information window has
changed to read MODIFY.
You may then begin editing the information in the record.
As with Append, you may move to any field by using either the up or down
arrow keys or the Enter key.
Press Escape at any time to leave the Modify selection.
7.
====================================
= =
= ERASING RECORDS FROM YOUR FILE =
= =
====================================
To Erase (delete) a record from your address file you will need to do
three things.
First, go to the record you wish to erase by either paging up or down
through your records or (if you know the record number) you may use the
GOTO option from the bar menu.
Second, select ERASE from the bar menu. You will then notice that the
CODE for that record has changed to "PURGE".
One of the nice things about SIFDial is the fact that it contains a
safeguard we call "Non destructive delete". This means that if you
select a record to Erase it is not really gone from the file. Only the
CODE is changed to read "PURGE". If you should happen to erase a record
by mistake simply select Modify and re-enter the correct CODE.
You may erase as many records from your file as you wish and they will
NEVER GO AWAY until you remove them using the -PURGE- command.
====================================
= =
= REMOVING RECORDS FROM YOUR FILE =
= =
====================================
To remove unwanted records from your address file (that is those you have
previously erased and the code reads "PURGE") simply select "File" from
the bar menu and then select "PURGE". This will remove all ERASED
records from your address file. One note, once you have Purged records
from your address file you cannot get them back unless you enter them
again using the Append selection.
8.
====================================
= =
= DIALING A PHONE NUMBER =
= =
====================================
To dial a phone number you must be viewing the record which contains the
number you wish to dial. Additionally, you must be connected to a modem.
To dial the number, simply select DIAL from the bar menu.
A small window will open up showing the number which you are dialing.
┌───────────────────────────┐
│ Dialing 731-8719 │
│ Please lift the receiver. │
└───────────────────────────┘
Once the number has been dialed, you will hear a ringing sound at which
time you should lift the receiver from the phone. After the ringing
stops, the connection is established and SIFDial disconnects itself from
the modem and transfers the connection to you. If you have lifted the
receiver from the phone you should then be connected to the number you
dialed.
It is important that you lift the receiver either when you select DIAL or
sometime before the ringing stops or your call will be disconnected.
Typically you should lift the receiver when the number is being dialed.
If you have trouble dialing or the connection is not being made it is
probably due to either the wrong communication port being used, or
waiting to long to lift the receiver. You may want to try using a
different communication port by selecting Install from the bar menu and
changing the communication port.
9.
====================================
= =
= THE GOTO SELECTION =
= =
====================================
The GOTO selection from the bar menu is a convenient way to go directly
to a specific record number. This is handy if you have an exceptionally
large address file. You must of course know in advance which record
number you wish to "GOTO". If you have a print out of your Phone Book,
you can look there to find the specific record number.
In order to go directly to a record in the address file simply select the
"GOTO" option from the bar menu. A window will open up asking you to
give a record number. At that point you should enter the record number
you wish to move to.

If the record number exists, SIFDial will go immediately to that
particular record and display the contents in the View window.
Additionally, the "Active record No:" field in the Information window
will change to reflect the record number you selected.
If the record number does not exist SIFDial will simply do nothing and
return to the Browse mode.

====================================
= =
= LOCATING RECORDS IN YOUR FILE =
= =
====================================
You may search for a particular address in your file by selecting the
"LOCATE" option from the bar menu.
The LOCATE (or search) option will allow you to find (or locate) records
in your address file based on either the CODE, NAME or PHONE number.
Selecting LOCATE will open up a window which will request that you supply
a string of information that you wish to locate. You may enter any
string of characters up to 28 characters long.
The search begins once you have told SIFDial what to look for.
SIFDial will search the entire file beginning at the top and will display
the record containing the information you requested. You will then be
asked if you wish to CONTINUE the search for other records which match
the information you asked for.
At that point you may either enter -N- which will terminate the LOCATE
session or -Y- which will continue the search. This is repeated for each
EXACT match that is found.
One of the unique features of SIFDial is it's ability to search for
information which "sounds like" other information. This is sometimes
known as a "soundex" search. If SIFDial has exhausted all attempts to
locate an EXACT match for the information you specified, it will ask you
if you wish to "SEARCH FOR SIMILAR SPELLING". If you so choose, you may
request that SIFDial locate all records which sound like your
specifications. Each record which is close to what you asked for will be
displayed.
A typical scenario is as follows.
Let's say that you wish to find the address record for Osborn but your
not sure how it is spelled. It might be spelled O-Z-B-O-R-N or it might
be spelled O-S-B-O-U-R-N or even O-S-B-U-R-N. To SIFDial it doesn't
matter. Simply enter the name as you think it might be spelled and
SIFDial will find it.
The same goes for the CODE and the PHONE number. Whether you used a dash
in your phone number or not, SIFDial will find it.
With SIFDials sophisticated Locate routine you should never "loose" an
address.

= THE FILE SELECTION =
= =
====================================
The first selection on the bar menu is the FILE option.
By using the File option you may change active address files, create new
address files, list the names of you address files, backup the active
file to diskette or purge erased records from your file.
When you select the FILE option from the bar menu you will be shown the
list of options available to you.

To select an option simply press the key which corresponds to the option
you wish to choose. For those of you with color monitors that letter
will be highlighted in red. For those of you who have monochrome (black
and white or amber) it will be the letter which is capitalized.
12.
====================================
= =
= THE -USE- OPTION =
= =
====================================
The USE option allows you to change your active address file.
To choose another address file (if one exists) simply select the FILE
option from the bar menu and choose USE.
At that point a list of your address files will be displayed in a window.
To choose one move the arrow either up or down by using your arrow keys
to point to the address file you wish to use and press enter.
You will then be shown the first record of that file in the View window
and the Information window will be updated with information pertaining to
the newly selected address file.
====================================
= =
= THE -CREATE- OPTION =
= =
====================================
You may create a new address file by selecting the CREATE option from the
FILE menu. Keep in mind that you are allowed only 8 such files.
When you select CREATE you will be asked to supply a name for your file.
You need not enter the file extension. In keeping with DOS standards
your file name may only be 8 characters long. SIFDial will append the
extension .ADR to the file name for you.
Once you have entered the file name it will be created and become the
active file. If you wish, you may then begin entering records by using
the Append selection.
One note about the CREATE option. If you press ESCAPE when SIFDial asks
for the file name, the file will not be created.
13.
====================================
= =
= THE -BACKUP- OPTION =
= =
====================================
As with any software, it is wise to keep copies of valuable data on other
devices such as diskette or magnetic tape in case the original
information is somehow destroyed.
SIFDial offers a convenient way to keep backups of your address files.
To backup your address files, select FILE from the bar menu and then
select BACKUP. The following window will appear prompting you to select
the drive letter to which the backup will be made (either A or B).
█▀▀▀▀▀▀▀▀▀▀▀▀▀▀▀▀█
█ Backup to .... █
█ Drive A █
█ Drive B █
█▄▄▄▄▄▄▄▄▄▄▄▄▄▄▄▄█
After selecting the drive the backup begins. SIFDial will backup only
the ACTIVE address file. To backup others you must first select them by
using the USE command. You may then back them up as normal.
As the backup is taking place the following window will appear.
█▀▀▀▀▀▀▀▀▀▀▀▀▀▀▀▀█
█ Backup █
█ in █
█ Progress. █
█▄▄▄▄▄▄▄▄▄▄▄▄▄▄▄▄█
The SIFDial backup routine was written to be able to determine if there
is a diskette in the drive. If there is not, it will prompt you to place
a formatted diskette in the drive. If it does not find one it will wait
for a specific length of time and then abort the backup process.
It is also able to determine if the diskette is formatted, write
protected, etc and will let you know what action to take if it finds an
error.
We hope you will keep current copies of your address files (and any other
valuable files) on either diskette or other media.
14.
====================================
= =
= THE -PURGE- OPTION =
= =
====================================
As noted earlier, erased (deleted) records are not really removed from
the file until a PURGE command is given. To remove ERASED records from
your address file select the PURGE option from the FILE menu.
Selecting PURGE will remove only those records who's code is "PURGE".
All other records are left in tact. After purging your file you may wish
to sort it again to keep it in the correct order although the order
probably will not have changed.
15.
====================================
= =
= THE SORT SELECTION =
= =
====================================
In order to organize you address file SIFDial offers the ability to sort
your file in any one of six different ways. You may sort your file by
Name, Code, City, State, Zip and Phone number.
To sort the active address file select the SORT option from the bar menu.
When you select SORT a window will open offering you the options
available.

To select an option press the key corresponding to the type of print you
would like. As always the key to press will be in red on color monitors.
For monochrome monitors press the letter which is capitalized.
In all instances (except for RECORD print) you will be asked to supply a
MASK. Entering a mask will cause only those records in which the mask is
found to print on the report. For example if you enter XYZ, only those
records which have XYZ in the NAME or CODE fields will be printed.
You may of course simply press enter and no mask will be used.

You will then be asked how many copies.
At that point you should enter the number of copies you wish to print.
Once you have told SIFDial how many copies you want, the printing begins.
SIFDial also has the ability to determine if your printer is online and
ready to print. If your printer is online and ready to print then
SIFDial will begin printing. If not a message will appear telling you
that your printer is not ready. You should then insure that your printer
is online and ready to print and try the selection again.

= =
= PRINTING A PHONE BOOK =
= =
====================================
If you select BOOK from the Print menu the following information will be
printed on your printer.
() The name of the address file which was used to print the book.
() The date it was printed.
() The address information for each record.
() The CODE for each address.
() The record number for each address.
The record number is located on the far right of the report.
This is useful when editing records in a large address file.
You can find the record on your report, obtain the record number and use
the GOTO option to go directly to that specific record.
====================================
= =
= THE POCKET PHONE BOOK =
= =
====================================
One of the unique features of SIFDial is the Pocket Phone Book.
To print a Pocket Phone Book, select the -PRINT- option from the bar menu
and then select -POCKET- from the window.
Your printer must support Epson or IBM standard for compressed print in
order for the Pocket Phone Book to print properly.
As with -BOOK- you will be asked to supply a mask and the number of
copies you with to print.
SIFDial then calculates how many pages there would be in the book based
on the number of records in the address file. It then prints them out in
book form. Only the name and phone numbers are printed.
Once the printing has finished, you can cut along the lines, staple the
pages together in the middle and there you have it.
18.
====================================
= =
= HOW TO CUT & STAPLE YOUR BOOK =
= =
====================================
Below is an example of how your Pocket Phone Book might print out and the
steps to take to put it together.
Let's say for example that SIFDial has calculated that your Pocket Phone
Book will require 6 pages to print. The resulting print out would look
something like this ...
+----cut---------------cut---------+----cut-------------------cut------+
| | |
| | |
| s |
c t c
u a u
t p t
| l |
| e |
| 1. | 6. |
+----cut---------------cut---------+----cut-------------------cut------+
+----cut---------------cut---------+----cut-------------------cut------+
| | |
| | |

| 2. | 5. |
+----cut---------------cut---------+----cut-------------------cut------+

| | |
| | |
| s |
c t c
u a u
t p t
| l |
| e |
| 3. | 4. |
+----cut---------------cut---------+----cut-------------------cut------+
You would then cut out pages 1/6, 2/5 and 3/4 along the outside edges.
(Do not cut the center line that runs between the page numbers. This is
used as the staple guide.) Then place page 1/6 face up on the table.
Place page 2/5 on top of 1/6 and page 3/4 on top of 2/5.
Next place a staple or two length ways down the center of the stack and
fold the stack along the staple line. That's all there is to it.
19.
====================================
= =
= PRINTING A SINGLE RECORD =
= =
====================================
Another nice feature of SIFDial is the ability to print just a single
record. In order to do this the record you wish to print must be in the
-VIEW- window. Then simply select -PRINT- from the bar menu and then
select -RECORD-.
Since you will be printing only the currently displayed record, SIFDial
will not ask for a Mask, nor will it ask for the number of copies.
====================================
= =
= INSTALL =
= =
====================================
In order to operate properly SIFDial must know certain information about
the modem you are using. As stated earlier, SIFDial will create the
files it needs to operate if they cannot be found on the drive. The
SIFDIAL.PRM file is one of those files. Contained in the SIFDial.prm
file is information about the communication port to which your modem is
connected, dialing prefixes, modem initialization commands and hang up
commands. You may change any of these parameters by selecting the
-INSTALL- option from the bar menu.
When you choose -INSTALL- you will be shown a window containing the
options which you can choose.

modems. Probably the only option you will be concerned with is the one
which controls your communications port. The default is -1-. You may
change it by selecting the -Comm port- option.

You cannot change any of the setting using the -View all- option.
In order to change a setting you must select the setting you wish to
change from the options window. (i.e. press -M- to change the Modem Init,
-P- to change the dialing prefix and so on.)
To better determine what these setting should be consult the manual which
came with your particular modem.
At this point in SIFDial's development only the Dial Prefix and the Comm
port are used. The others will be used in future releases of SIFDial.
One last note. As stated earlier the SIFDIAL.PRM file has changed
somewhat with version 2.0. If you are running a version prior to 2.0 you
will need to make a note of the settings in your old .PRM file and then
delete it. When you run SIFDial it will create a new .PRM file which you
should then edit using the -INSTALL- option.

= CONCLUSION =
= =
===================================
This concludes the documentation for SIFDial.
If you have any problems using SIFDial or just have an idea for future
releases we would enjoy hearing from you. Just drop us a line or call our
24 hour Bulletin Board service (405) 672-4564.
PROBLEM REPORTING: If you are having problems with SIFDial we would like
to hear about them. To report a problem PLEASE gather all of the
information you can about the events prior to and during the problem.
() What was I doing when the problem happened.
() Has it ever happened before.
() Can I MAKE it happen again.
() Does it do it every time or just once in a while.
() What programs were running before SIFDial.
An example would be as follows: "I used the Goto command to get my record
in the View window. I began editing, pressed enter on the last line and
the machine began showing garbage characters on the screen.
I am using a ShadeTree clone running Offthewall DOS version 3.3. I think
this has happened before when I was using my database program."
It would also be good to let us know of any TSR (terminate and Stay
Resident) programs you are using. (We have had users who use ill-behaved
print spoolers, disk cache programs and the like that have caused problems
with both SIFDial and SIFMenu).
Please don't send in a problem like this ... "Well I'm not sure what
happened. It just quit!"
One of the most common problems we encounter is "SIFDial won't dial the
phone number". The simple answer is "Try changing the comm port using
the Install selection".
In short, you cannot give us to much information about the consequences
surrounding the problem. Our commitment is to provide quality programs
and service to our users but we need your help.
We think SIFDial is in the Top of it's class. We hope you will too.
Thank you for choosing SIFWare!
